Engagements
How long does a typical engagement take?
+
The scoping and proposal phase takes 1โ€“2 weeks. The core implementation sprint runs 8โ€“12 weeks for most workflows. Simpler automations can be live in 4โ€“6 weeks. More complex integrations with multiple systems may take 14โ€“16 weeks. Every SOW specifies the exact timeline before you sign.
What does a typical engagement look like week-by-week?
+
Weeks 1โ€“2: current-state mapping and workflow observation. Weeks 3โ€“4: opportunity identification, tool selection, and SOW finalization. Weeks 5โ€“10: build and deploy โ€” we work inside your actual systems. Weeks 11โ€“12: training, documentation, and handoff. Post-engagement: 30-day check-in included.
Do we need our own AI tools or subscriptions?
+
It depends on the engagement. For some workflows, existing tools you already pay for (Microsoft 365 Copilot, HubSpot, etc.) are the right fit. For others, we'll recommend and help configure purpose-built tools. We'll always recommend based on what's right for the workflow and your budget โ€” not based on partnerships or commissions.
What happens after the engagement ends?
+
The system belongs to you and your team operates it independently. We provide documentation, training, and a 30-day post-launch check-in. If you want ongoing optimization, we offer a structured quarterly Kaizen retainer โ€” but there's no dependency on us built into the system we deliver.
Pricing
How much does an engagement cost?
+
Pricing is fixed per engagement and defined in the SOW before you sign. A standard workflow sprint (8โ€“12 weeks) typically ranges from $45,000โ€“$120,000 depending on complexity and integration requirements. Federal engagements through GSA MAS may have different pricing structures. Initial scoping calls are free and include a rough estimate.
Is there an hourly rate or is it always fixed-price?
+
We only do fixed-price, milestone-based engagements. No hourly billing. No open-ended retainers unless you opt into a structured quarterly program. The price you see in the SOW is the price you pay โ€” changes to scope are renegotiated, not silently absorbed.
Can we start small before committing to a full engagement?
+
Yes. For most clients, we recommend starting with an AI Opportunity Assessment (2 weeks, fixed price). This gives you a prioritized opportunity map, tool recommendations, and a specific sprint proposal โ€” before you commit to the full implementation. For federal agencies, this is available as a standalone deliverable under GSA MAS.
Federal Clients
How do agencies buy from Otonmi?
+
Agencies purchase through the GSA Multiple Award Schedule (MAS), Contract #47QTCA26D000K. For task orders under the simplified acquisition threshold, no competition is required. Above threshold, agencies can issue a Request for Quote to multiple MAS holders. The process typically takes 2โ€“4 weeks from scope agreement to award.
Are you compliant with federal AI executive orders?
+
Yes. Our federal engagements are designed around EO 14179 (Removing Barriers to American AI Leadership), EO 14319 (Preventing Woke AI in Federal Government), and OMB M-26-04 (Unbiased AI Principles for LLM Procurement). We help agencies implement AI consistent with these requirements โ€” including vendor vetting against OMB Appendix A transparency standards.
Do you have security clearances?
+
Ingress IT Solutions has staff with clearances available for sensitive mission environments. Clearance level and scope depend on the specific engagement requirements. Contact us directly to discuss your agency's requirements โ€” this is handled case-by-case based on the nature of the work.
Results
How do you measure success?
+
We establish a baseline measurement at the start of every engagement โ€” before any AI is deployed. Success is measured against that baseline using metrics we agree on upfront: processing time, error rate, throughput, staff hours, or whatever is most meaningful for the specific workflow. The SOW specifies success criteria.
What if the system doesn't deliver the expected results?
+
If we don't reach the success criteria defined in the SOW, we work to resolve it โ€” additional sprints, configuration changes, or scope adjustments. We don't walk away from a project that hasn't met its stated objective. This is why we're careful about what we commit to at the scoping stage โ€” we only propose engagements we are confident will succeed.
Can you share case studies or past performance examples?
+
Yes โ€” see our Case Studies page for anonymized examples with specific outcomes. For federal agency past performance, we can provide a formal past performance reference through the Ingress IT Solutions parent company (GSA MAS #47QTCA26D000K), including work at USPTO, SEC, and DoD.
Is It a Fit?
We're early in our AI journey. Is that okay?
+
Yes, but the fit question is about your operational readiness, not your AI maturity. We work with organizations that have a specific workflow problem, documented processes, and the authority to change how that workflow operates. We don't require prior AI experience. We do require a named bottleneck and someone accountable for the outcome.
We don't have a dedicated IT or AI team. Is that a problem?
+
Not at all โ€” most of our mid-market and government clients don't. We bring the technical expertise. What we need from you is access to the people who do the work (for process mapping), access to the systems involved (for integration), and a point of contact who can make decisions. We handle everything else.
What makes an engagement not a fit?
+
We are not the right fit if: you're still exploring whether AI is relevant to your business; you want a strategy document without a commitment to implementation; the workflow is informal and undocumented; you need internal buy-in before committing; or you want a low-risk pilot with no production deployment decision. We will tell you this in the first conversation โ€” we would rather say no early than run an engagement that doesn't succeed.
How do we get started?
+
Fill in the contact form with your name, organization, and a sentence about the workflow challenge you're trying to solve. We'll schedule a 30-minute scoping conversation within one business day. No sales deck. No demo. Just a direct conversation about whether and how we can help.
